Requesting Financials


 


When someone speaks about financials, they are referring to the collection of financial reports generated by some financial entity, in our case it is the Village Townhomes Condominium Association. The most commonly known financial reports are the income statement and balance sheet. These are the most basic, fundamental financial reports.

When you hear that the financials are available on the portal, this means only the income statement and balance sheet.

There are other financial reports, such as the Cash Disbursement report, the A/P Aging report, G/L trial balance report, etc. Up until March 5, 2022 when you requested the complete financials, you could email (or mail) a request for the desired month or months and a PDF document with your desired information was emailed to you. However, on March 5, 2020 that changed. From then on a homeowner had to submit a records request. Once the management company received the request, a date and time are arranged for the homeowner to travel to Vista where they can view, photograph, or purchase the requested month's financials.

Below is an excerpt from meeting minutes of the March 5, 2020 board of directors meeting.
So as to have a record and to maintain consistency and documentation, Diane Medeiros motioned to require that all owners submitting records requests must make an appointment at Vista CAM to view the records. Dan Hillman seconded, and with all in favor the motion passed unanimously.

As mentioned above, the homeowner must travel to the management company in Maitland and either:
  1. View the desired information on a computer monitor.
    I don't know anyone who can memorize the approximately 70 pages in one month's report.
  2. Photograph each page as it is displayed on a computer monitor's screen.
    Have you ever seen a printout of a photo of an image displayed on a computer monitor?
  3. Pay 25 cents per page (first 25 pages are free) for the requested records.
    You don't have much of a choice if you want your information in a usable form.
Keep in mind Florida Statute 718.111(12) gives you the right to have this information. It cannot be witheld from you.

Taking time off work, traveling to the management company, and waiting while your requested financial records are printed presents a significant impediment for a homeowner.

So, yes, it is more difficult to obtain financial information now than it was before March 2020. You must pay for your financial information in both time and money, whereas it used to be free.
